Assistant to VP of Sales/Marketing

Vice President of Sales & Marketing

Position Summary:
Provides principal administrative support to Vice President of Sales & Marketing and/or Sales Manager(s). Works fairly independently. Also provides administrative support to one remote sales manager.

Essential Functions:

  1. Performs general secretarial functions and assists Sales Manager(s) in day-to-day operations of the department.
  2. Handles daily correspondence, meeting planning and travel arrangements for Manager(s). Prioritizes and distributes all incoming correspondence, faxes, and general mail for Manager(s).
  3. Monitors all aspects of the department budget, including preparation of invoices, check requests, and purchase orders, verification of expenditures against line items, adjusting of accounts and updating Manager(s) on a monthly basis.
  4. Maintains VisitNorfolk Sales Department merchandise including, estimates, orders, inventory and requests.
  5. Maintains organized file system (paper and electronic) for department, including accounting and sales records.
  6. Assists with departmental projects.
  7. Maintains department statistics, ensuring that data is current and correct.
  8. Creates various reports, utilizing database(s).
  9. Provide front desk relief for receptionist.
  10. Ability to lift 30 pounds
  11. Project a positive image of Visit Norfolk and display a positive attitude in all internal and external communications.
  12. Ability to deal with delicate and controversial matters on a continuing basis.
  13. Serve as Lead Admin for IDSS database system
  14. Run reports and queries to produce accurate information.
  15. Maintain and track expenses for Sales, Marketing, and Public Relations Departments.
  16. Manage Budgets for Sales Managers
  17. Coordinate and plan various meetings. Must be able to take minutes.
  18. May serve as liaison with hospitality partners on a variety of special projects.

Requirements:

  • Excellent writing and proofreading skills require. Ability to work with expense reports and budgets.
  • Excellent knowledge and functionality in use of office computer software including excel and word. Ability to create reports, graphs, etc.
  • Ability to quickly learn industry related computer software such as In Design, Adobe and other media programs.
  • Strong customer service and business etiquette skills.
  • Work requires high degree of accuracy, good judgment, excellent oral, proofreading, written communication skills and strong attention to details.
  • Good organizational skills and ability to multi-task
  • Ability to meet deadlines
  • Ability to work in a fast pace environment.

Marketing Manager

Reports To:  Vice President of Sales and Marketing

Position Summary:  Provide support to the Vice President of Sales and Marketing in the areas of web, digital and print marketing. Assist with development and creation of a comprehensive marketing plan and related activities. May work collaboratively with the Media Relations Manager to assist in the creation and execution of public relations special projects. This position is a hands-on manager of the marketing process and does not have direct supervisory duties over any other employees.

Major Responsibilities:

  1. Utilizes various publishing programs to combine text and graphic elements to conceptualize, create and produce tradeshow and sales collateral such as logos, flyers, brochures and digital presentations.
  2. Assists in the research, development and implementation of comprehensive marketing goals and strategies to promote the city as a travel destination.
  3. Maintains photography and video assets library including usage documents.
  4. Works with publishing company to assist in layout, content, and accuracy of information in the annual Visitors Guide.
  5. Act as content manager to a CMS web site providing updates as needed and working with web site vendors on new applications.
  6. Coordinates with outside agencies in creating a synergistic marketing plan to include a wide range of city events, activities, attractions, and amenities.
  7. Assists with the management of the brand image campaign as it relates to promotions, advertising and merchandising. Protects the integrity of the campaign by monitoring the use of trademark and slogan-mark by VisitNorfolk staff, outside agencies and city departments.
  8. Assists in the creation and production of all collateral materials to create a cohesive brand message.
  9. Works closely with outside agencies, writers, and artists and oversees copywriting, design, layout, paste-up and production of promotional material.
  10. Projects a positive image of VisitNorfolk and displays a positive attitude in all internal and external communications
  11. Keeps abreast of industry trends and continually seeks out opportunities for professional development and improvement.
  12. Performs related work as required.

Qualifications:

  • Bachelor’s degree from an accredited college or university; major course work in marketing, advertising, communications or a related field.
  • Minimum of 2 years of experience in Marketing or Advertising, preferably in the travel and tourism industry or any equivalent combination of training and experience which would provide the following knowledge, skills and abilities:
    • Strong written and verbal communication skills
    • Proven copywriting and editing experience; must have excellent spelling and grammatical skills, and the ability to apply guidelines from the Associated Press Style Guide
    • Must be knowledgeable and functional in layout of copy and images to ensure consistency in design style and format.
    • Must be proficient in creative or promotional writing.
    • Must have demonstrated web content management and knowledge of best practices and experience in email marketing.
    • Strong aptitude and experience with various software design and application tools including the Adobe Creative Suite, with an emphasis on InDesign and Photoshop, and various Microsoft Office products.
    • Thorough knowledge of the principles and techniques of marketing and marketing research of consumer goods and services.
    • Ability to multitask and manage several projects while meeting multiple deadlines.
    • Grasp of advertising principles and techniques associated with meetings and conventions, consumer and group travel marketing.
    • Knowledge of research techniques available to research demographics, psycho-graphic and socioeconomic factors and economic trends impacting marketing strategy development and implementation.
    • Ability to communicate effectively and work cooperatively within a group dynamic.
    • Knowledge of appropriate means for compiling, analyzing, and reporting data impacting program, planning and implementation.
    • General knowledge of agencies, groups, and other resources dealing with marketing and promotional efforts for area attractions, facilities, amenities, and services.

Visitor Information Specialist  

Hours: Part-time, 10 – 20 hours week 

Position Summary: VisitNorfolk is looking for a dynamic, outgoing individual to represent Norfolk and the surrounding Coastal Virginia area to tourists, visitors and local residents alike from our brand new, state-of-the-art Mobile Visitor Center. This position requires the operation of a company owned motor vehicle and extensive knowledge of the local area; specifically the amenities and attractions that the City of Norfolk has to offer. Work involves providing detailed and accurate directions to area hotels, restaurants, attractions and businesses with the use of maps and/or the internet, as well as preparing, stocking and selling merchandise. 

This position requires weekend, evening, and holiday availability based on event, festival, and conference schedules. 

Qualifications:  Must be at least 21 years old to apply and have a valid driver’s license. Good communication skills and an outgoing personality are necessary as well as the ability to lift up to 50lbs and stand for extensive periods of time. General knowledge of Apple I-products and other basic technology preferred. Customer Service skills and retail experience also preferred.
