Administrative Sales Assistant

Position Summary:  VisitNorfolk is looking for aproactive, self-motivated, well organized and detail-orientedAdministrative Assistant to provide principal support to assigned Sales Managers.

Responsibilities include:

  • Performs general secretarial functions and assists Sales Manager(s) in day-to-day operations of the department. 

  • Handles daily correspondence, meeting planning and travel arrangements for Manager(s). Prioritizes and distributes all incoming correspondence, faxes and general mail for Manager(s). 

  • Monitors all aspects of the department budget, including preparation of invoices, check requests and purchase orders, verification of expenditures against line items, adjusting of accounts and updating Manager(s) on a monthly basis. 

  • Maintains VisitNorfolk Sales Department merchandise including, estimates, orders, inventory and requests.

  • Maintains organized file system (paper and electronic) for department, including accounting records.

 

Qualifications:

  • Excellent knowledge and functionality in use of office computer software including Excel and Word; Ability to create reports, graphs, etc.; Ability to quickly learn industry related computer software such as Adobe, and IDSS.

  • Ability to work with managers long distance via email and phone on a regular basis.

  • Strong customer service and business etiquette skills. 

  • Work requires high degree of accuracy, good judgment, excellent oral, proofreading, written communication skills and strong attention to details.

  • Good organizational skills and ability to multi-task; Ability to meet deadlines; Ability to work in a fast pace environment.

Visitor Services Coordinator

Position Summary:  VisitNorfolk is looking for aproactive, self-motivated, well organized and detail-orientedindividual to provideprincipal administrative support to the Visitor Services Department.  This position involves frequent visitor and event personnel interaction, operational responsibilities of the mobile visitor center, and requires a flexible schedule with weekend and/or evening availability based on event, festival, and conference needs. 

Responsibilities include:

  • Perform general administrative functions including expense reports and procurement processes; Assist with monthly reports; Assist Director with day-to-day operations of the department

  • Brochure Management; Process on line Visitor Guide requests

  • Operate the Mobile Visitor Center; Maintain appearance of mobile visitor center and assist with general vehicle upkeep; Prepare and stock mobile visitor center for scheduled events; Prepare all materials and equipment needed for scheduled Visitor Services events using tent or table set up; Assist with researching and applying for festivals and events that would increase VisitNorfolk’s presence in the community and region 

  • Ability to work at the Visitor Information Center and Visitor Services events as an Information Specialist. 

 

Qualifications:

  • College degree preferred with work experience, preferably in the hospitality industry. Strong customer service and business etiquette skills.  Strong communication skills, initiative and work ethic.

  • Familiarity with the City of Norfolk and the Coastal Virginia region.

  • Knowledge of Microsoft Office software and ability to learn Adobe products (InDesign) as well as Apple products including Point of Sale system. Willing to learn media wall operations and assist with updates.

  • Good organizational skills and ability to work well independently and in a team environment. Work requires high degree of accuracy, good judgment, excellent oral, proofreading, written communication skills and strong attention to details.  Experience handling multiple tasks simultaneously.

  • Ability to learn/experience with retail sales and ability to work with POS system. 

  • Valid driver’s license with dependable transportation; must have and maintain a clean driving record.  Must be at least 21 years of age.

Director of Sales

Position Summary:  VisitNorfolk is looking for a proactive, innovative, and optimistic Director of Sales to be responsible for managing, leading, creating and delivering sales and strategies for the sales team. 

Responsibilities include:

  • Develops and leads a strategic convention, meeting, and trade show development program encompassing sales and services to deliver predetermined near-term and long-term goals for convention bookings and hotel room night generation. 

  • Leads and manages a multi-functional sales departmental team to maximize individual staff performance and professional development. Recognizing that two members are remote.

  • Establish and achieve sales goals: generate qualified convention and meeting leads for all Norfolk hotels and facilities. 

  • Research and qualify prospective group opportunities and actively solicit convention and meeting business to produce sales leads and secure bookings for destination hotel/motel properties and facilities.

  • Provide Vice President of Sales & Services weekly individual and team updates and goal strategies. Provide a monthly report evaluating performance and budget expense forecast.

  • Plans and manages a sales departmental expense budget in response to changing market conditions and operational demands within predefined parameters.  Assists with the creation and development of VisitNorfolk’s annual Marketing Plan as it relates to the solicitation efforts of markets.

  • Serves as the secondary liaison with Norfolk hotels’ Director of Sales.

  • Directs and conducts annual departmental planning and budgeting process for the sales team.  Oversees the planning, execution, and participation in trade shows, conventions, and sales missions to reach target customer groups.

Qualifications:

  • Bachelor’s degree in Marketing, Hospitality Management, or Business Administration.

  • Five to seven years of convention sales experience, four years prior work experience in a supervisory hospitality or travel industry sales or marketing management capacity with hands-on experience in sales, negotiations, market planning, budgeting, project management, and performance reporting.

  • Thorough understanding of destination marketing and management with a preferred background in DMOs. 

  • Professional hospitality or association management industry accreditation CMP, CHSE, CAE, etc. preferred.

  • Detailed knowledge of the tourism industry including hotels and convention center facilities.  Detailed knowledge of meeting, convention, and trade show management procedures and techniques.

  • Exceptional capacity for managing and leading people. A team builder with the ability to connect staff both on an individual level and in large groups, capacity to enforce accountability, develop and empower management team members from the bottom up and lead from the top down and cultivate teamwork.

  • Skilled in professional and persuasive communication including verbal and written, as well as presentations and public speaking.  Strong proficiency in financial management and budgeting.

  • Ability to perform consistently in a fast-paced multi-task environment.  Flexible and able to work outside traditional office hours.

Visitor Information Specialist

Hours: Part-time, 10 – 20 hours week

Position Summary: VisitNorfolk is looking for a dynamic, outgoing individual to represent Norfolk and the surrounding Coastal Virginia area to tourists, visitors and local residents alike from our brand new, state-of-the-art Mobile Visitor Center. This position requires the operation of a company owned motor vehicle and extensive knowledge of the local area; specifically, the amenities and attractions that the City of Norfolk has to offer. Work involves providing detailed and accurate directions to area hotels, restaurants, attractions and businesses with the use of maps and/or the internet, as well as preparing, stocking and selling merchandise.

This position requires daytime, evening, weekend, and holiday availability based on event, festival, and conference schedules.

Qualifications: Must be at least 21 years old to apply and have a valid driver’s license. Good communication skills and an outgoing personality are necessary as well as the ability to lift up to 50lbs and stand for extensive periods of time. General knowledge of Apple i-products and other basic technology preferred. Customer Service skills and retail experience also preferred.
